Students can advance to a higher year if they meet the conditions for progression according to the accredited publicly valid study program.

For transition from the first to the second year

a student must complete all obligations from the first year amounting to 50 ECTS.

For transition from the second to the third year

a student must complete obligations amounting to 110 ECTS.

Repeating a year

A student who wishes to re-enroll must submit an application. The application for repeating a year is submitted through VIS by selecting the Applications tab in the left menu. Then select the appropriate Application for enrollment – repeating a year, complete it, and SUBMIT. By submitting the application, the student guarantees that they have not yet repeated a year or changed their study program or field at any higher education institution in the Republic of Slovenia. By submitting the application, the student assumes criminal and material responsibility and authorizes Alma Mater to verify the accuracy of the data officially and, where necessary, to obtain data from official records.

Within two working days after submitting the application in VIS, the Student Affairs Office will verify the appropriateness of the submitted application and within five working days prepare the appropriate enrollment form, which the student completes via VIS to finalize enrollment. You access VIS through the website https://vis.almamater.si/prijava.htm with your username and personal password.

The tuition fee for repeating a year amounts to 1/3 of the total tuition fee plus 150.00 EUR enrollment fee. The first installment of the tuition fee for repeating a year and the enrollment fee must be paid together before enrollment. The tuition fee for repeating a year can be paid in 1, 2, or 5 installments.

Please check before enrollment if you have settled all financial obligations for previous study years, which is one of the conditions for enrollment.

The student retains student status during the repetition period.

Important notice: a student cannot repeat the 3rd year; in case of uncompleted study obligations, the student submits an application for enrollment in the graduate internship.

Conditional enrollment

A student may exceptionally enroll in a higher year even if they have not completed all obligations and conditions for progression, provided they have justified reasons as listed below.

Justified reasons and required evidence:

  • Maternity during studies – evidence: excerpt from the birth register. Student mothers who give birth during the current academic year have the right to extend student status for one year for each live-born child, provided they have student status in the current academic year.
  • High-risk pregnancy during the current academic year, regardless of outcome – evidence: certificate from a gynecologist specialist.
  • Fatherhood in the first year of the child's life, if the father lives with the child in a shared household and uses parental leave for child care – excerpt from the birth register, certificate of shared household, certificate of use of parental leave.
  • Illness lasting at least three months during lectures or one month during exam periods – numbered medical certificate issued by a personal doctor describing the illness and treatment period, or a disease description issued by a specialist, or hospital discharge note. The medical certificate must state the absence period (one month absence during exam period or three months during lectures). During absence, the student must not take exams or other obligations, as evidenced by official VIS records.
  • Death of family members of the student (mother, father, brother, sister, husband, wife, child) during exam periods of the current academic year – evidence: excerpt from the death register, birth register showing kinship, for members of the shared household – certificate of shared household.
  • Severe social circumstances of the student's family, recorded at the Social Work Center and which hindered the student's study engagement during exam periods of the current academic year – evidence: certificate from the Social Work Center showing the occurrence of social circumstances at least one month before the exam period.
  • Exceptional activity in artistic, cultural, humanitarian, sports, and research fields during exam periods – evidence: certificate of active participation issued by the relevant umbrella organization.
  • Education in two or more study programs – evidence: enrollment certificate.
  • At least three months of education abroad – evidence: certificate of education abroad.
  • Active participation in institutional bodies.

In this case, the Committee for Study Affairs decides on exceptional enrollment in a higher year.

A student wishing to exceptionally (conditionally) enroll in a higher year in the next academic year must submit an application to the Committee for Study Affairs. The application for conditional enrollment in a higher year is submitted electronically via VIS by selecting the Applications tab in the left menu. The application must be accompanied by a SIGNED statement that during studies the student has not changed the study program or field or repeated a year at any higher education institution in the Republic of Slovenia. By signing the statement, the student assumes criminal and material responsibility and authorizes AMEU-ECM to verify the accuracy and, where necessary, obtain data from official records. The statement is printed together with the application from VIS.

The completed application must be printed, signed, and sent with appropriate evidence to Alma Mater, Slovenska ulica 17, 2000 Maribor, or submitted during office hours at the Alma Mater office. The student can edit the completed application until it is accepted by the office.

Please check before enrollment if you have settled all financial obligations for previous study years, as this is one of the conditions for enrollment.

Extension of student status

For justified reasons listed below, student status can be extended, but for no more than one year, if:

  • the student does not graduate from a first or second cycle study program within 12 months after completing the last semester, provided they have not repeated a year or changed the study program or field during studies;
  • the student does not graduate from a first or second cycle study program at the end of the last semester, if they have repeated a year or changed the study program or field during studies;
  • the student does not enroll in the next year or semester during studies;
  • the student does not complete a second cycle postgraduate study in an integrated master's program within 12 months after completing the last semester.

Justified reasons for uncompleted study obligations:

  • maternity during studies – evidence: excerpt from the birth register. Student mothers who give birth during the current academic year have the right to extend student status for one year for each live-born child, provided they have student status in the current academic year,
  • high-risk pregnancy during the current academic year, regardless of outcome – evidence: certificate from a gynecologist specialist,
  • fatherhood in the first year of the child's life, if the father lives with the child in a shared household and uses parental leave for child care – excerpt from the birth register, certificate of shared household, certificate of use of parental leave,
  • illness lasting at least three months during lectures or one month during exam periods – numbered medical certificate issued by a personal doctor describing the illness and treatment period, or disease description issued by a specialist, or hospital discharge note. The medical certificate must state the absence period (one month absence during exam period or three months during lectures). During absence, the student must not take exams or other obligations, as evidenced by official VIS records,
  • severe social circumstances of the student's family, recorded at the Social Work Center and which hindered the student's study engagement during exam periods of the current academic year – evidence: certificate from the Social Work Center showing the occurrence of social circumstances at least one month before the exam period,
  • recognized status of a person with special needs – evidence: decision on recognized status of a person with special needs;
  • active participation in top professional, cultural, or sports events – evidence: certificate of active participation issued by the relevant umbrella organization,
  • active participation in university bodies.

The student must submit official evidence of the justified reasons claimed.

A student with justified reasons for uncompleted study obligations must submit an application for extension of student status to the Committee for Study Affairs. The application for extension of student status is submitted via VIS by selecting the Applications tab in the left menu. Then select the appropriate Application for enrollment – extension of student status and complete it.

The completed application must be printed, signed, and sent with appropriate evidence to Alma Mater, Slovenska ulica 17, 2000 Maribor, or delivered personally to the Alma Mater office during office hours. The student can edit the completed application in VIS until it is accepted by the office.

A student approved by the Committee for extension of student status must observe the following: after delivery of the Committee's decision, we will prepare the enrollment form, which you complete online in VIS to finalize enrollment. You access VIS through the website https://vis.esmb.si/prijava.htm with your personal password.

Costs of extending student status

Each student pays an enrollment fee according to the ALMA MATER price list (150.00 EUR) upon enrollment. When filling out the UPN payment slip, enter SI00 and the enrollment number in the reference, and in the payment purpose enter the student's name and surname and EXTENSION OF STATUS.

Person without status – inactive students

For students who by September 30 of the current academic year do not meet the conditions for progression to a higher year or repeating a year, we will open an enrollment form for inactive status.

Occasional students

Persons who have not yet been enrolled at Alma Mater can complete individual study obligations as occasional students. In this case, they must complete a registration enrollment. With registration enrollment, the student does not acquire student status but gains access to study environments and information support.

Registration enrollment is done by completing the form Application for completing study obligations without enrollment. The completed form is submitted personally to the office or sent by registered mail to the competent office. The form must be accompanied by proof of payment. The execution of study obligations with an exam is charged by dividing the annual tuition fee by 60 ECTS and multiplying by the number of ECTS of the subject. The payment includes practical exercises, clinical exercises, and two attempts at the exam, colloquium, or partial exam, as well as access to study materials. For the third or any subsequent attempt at the exam, the participant must pay the amount according to the valid price list.

Inactive students

Persons whose student status has expired and who have not completed prescribed study obligations in the academic year receive inactive student status. If they wish to continue completing study obligations, candidates must complete the form Application for completing study obligations for candidates without status and submit it to the Student Affairs Office. The application must be accompanied by proof of payment according to the Price List. For each exam, colloquium, or partial exam they wish to take, a new form must be completed.

Inactive students do not have access to Moodle. Access to Moodle is granted only for those subjects for which they register and pay for completing the individual subject according to the Price List. In this case, access to materials for the current academic year is enabled (materials for previous study years cannot be obtained).

Access to VIS is blocked if a student has inactive status for more than 2 years. If a student wishes to reactivate VIS access, they should contact the Student Affairs Office. In any case, the student must make any exam registrations or deregistrations through the Student Affairs Office.
